POSITION SUMMARY

The Donor Events Manger is a key member of the OMCA fundraising and stewardship team, responsible for the museum's annual fundraiser, stewardship, and cultivation events. The individual in this position will have the opportunity to curate unique, elevated experiences for the museum's most loyal supporters, from exhibition openings to smaller events with artists and local thought leaders. Working with curators, development staff, the Museum Director, and volunteers, this position will oversee the execution and strategy for the full slate of stewardship, cultivation, and fundraising events at the museum. In addition to annual events, exciting opportunities are on the horizon with OMCA's 50th anniversary in 2019 and the public launch of our five-year comprehensive campaign. This position will manage an Advancement Associate (Associate primarily works on events, with approximately 25% time spent supporting corporate giving).

INSTITUTIONAL RESPONSIBILITIES

POSITION DUTIES AND RESPONSIBILITIES

Fundraising Events

 

 

 

 

 

 

  • Plan and execute OMCA's annual fundraiser, acting as the project manager to create an event that is signature to OMCA. Staff a volunteer events committee. Work cross-departmentally with Marketing, Graphic Design, Facilities, Public Programs, and other departments to execute this major fundraiser smoothly and successfully
  • The Manager is responsible for the event's net revenue, with support from other fundraising staff and the Director of Philanthropy

 

 

Stewardship Events

 

 

 

 

 

  • Plan and execute cultivation and stewardship events (approximately 6-8 events per year) for exhibition openings, Donor Forum events, Heritage Society, and Campaign cultivation
  • Work with key trustees, staff, and donors/prospects to create events that highlight and reflect the unique aspects of OMCA's mission and audience
  • Ensure events are planned to meet their goals in terms of reaching a target audience, communicating key messages, and number of attendees
  • Ensure events align with institutional program strategy
  • Manage the Advancement Associate in the successful execution of events for the Women's Board and Corporate Appreciation night

Event Execution

 

 

 

  • Acts as the project lead for events, including project management and logistics of all events

 

 

  • Manage event budgets, create and evaluate vendor RFP's, negotiate and finalize contracts, and invoice payments
  • Collaborate with other centers to develop overall design concept, create effective event collateral such as invitations, e-vites, webpages, program, and overall guest experience for events
  • Oversee the tracking of income and sales reports and prospect tracking
  • Coordinate fulfillment of auction lots, honorariums and other donor and participant acknowledgements related to events
  • Recruit and train staff and volunteers to perform required event duties
  • Facilitate post-event follow-up to include processing invoices, acknowledgements and debriefing of event with co-workers

 

Qualifications:

EDUCATION AND EXPERIENCE

A combination of experience and education that demonstrates possession of the necessary knowledge and abilities for this position is required as noted:

 

 

 

  • High School diploma, GED or equivalent required
  • B.A. degree in related field preferred
  • 5-7 years relevant experience required
  • Proven experience managing large scale events, preferably with demonstrated ability to meet and exceed financial goals
  • Experience in a museum or nonprofit preferred

 

 

ADDITIONAL QUALIFICATIONS

 

 

 

 

 

 

  • Is knowledgeable about effective use of events in building and sustaining momentum for major arts and cultural institutions and uses knowledge to help plan for impactful events that reflect the culture and values of the institution
  • Ability to develop extensive knowledge of facilities, how they can best be used for events of various sizes, and has an excellent rapport with facilities staff. Scouts offsite facilities as event venues as needed and works with staff at those venues to ensure a successful program
  • Experience in event planning and project management for diverse intergenerational adults
  • Proficiency in computer systems and applications, specifically MS Office (Word, Excel, PowerPoint), relational databases (e.g. Raiser's Edge), email platforms (e.g. MailChimp), online giving platforms
  • English, fluent in both spoken and written form
  • Available to work weekends and evenings as needed

 

 

  • Familiarity with Bay Area events market, including rental venues and vendors
  • Understanding of required City and State permit for /fire, building capacity, alcohol, parking, and health code
