The Facilities Manager ensures that all public and back-of-house areas are maintained, and facilities are prepared for Museum visitors, events, programs, and rentals. The position oversees security and safety; building and grounds maintenance; services Museum equipment; and oversees parking services.
Essential Job Functions
• Ensure that all internal Museum activities (events, programs and meetings) and external events (rentals) are provided with required set-up/tear-down support. • Communicate set-up/tear-down needs to custodial personnel in a timely, organized and consistent fashion. Provide direct support as needed (set-up/tear-down tasks include, but not limited to: moving furnishings, setting up AV equipment, etc.). • Ensure that all Museum facilities, including public, exhibition, and back-of-house areas (offices, kitchen) are clean and well maintained. • Work closely with exhibitions and collections staff to develop and maintain cleaning protocols for exhibition areas. • Support custodian as needed (cleaning tasks include, but not limited to: vacuuming, sweeping, mopping, windows, sanitizing restrooms and kitchens, washing linens). • Supervise and coordinate work of Custodian(s), Maintenance Technician, contract employees, volunteers and other facilities personnel assigned to the Operations Department. • Supervise and work collaboratively with the Museum’s volunteer maintenance crews. • Maintain office equipment; copier, postage meter, phone, voicemail and extension directory. • Order office supplies and maintain inventory; coordinate recycling of office supply equipment. • Maintain inventory of custodial and facilities supplies. • Maintain accurate records and update vendor, supplier, inspection, and permitting contact information as needed. • Supervise parking program, and serve as primary liaison to external parking services; facilitate any special requirements (timing/pricing changes, overflow, valet, ticket dispute/resolution). • Oversee mailing services: manage bulk mail account, USPS, Fed EX, UPS; maintain documentation and compliance of mail procedures and protocols. • Monitor organization of Museum storage areas. • Manage waste management service schedule. • Maintain Museum equipment and furnishings inventory, and manage protocols for use; including A/V usage, piano, etc. • Oversee use of loading dock; coordinate with departments for
Nordic Heritage Museum 2018 Job Description scheduling and access (large freight deliveries). • Manage pest control services; work closely with collections and exhibition staff to ensure adherence to museum standards for object safety and preservation. • Assist with the oversight of the Museum’s ancillary retail building. • Maintain and service all building systems (HVAC, elevator, lighting, heat, security system, etc.). Assess and report required facility maintenance issues to the Deputy of Operations; undertake/schedule repairs as appropriate or assigned. • Under the direction of the Deputy of Operations, coordinate with service vendors, inspection personnel, and permitting agencies to ensure safe and functional building systems that meet Museum operating requirements. • Support facilities permitting needs for special events (National Barricade, City of Seattle, Parks and Recreation, and etc.) • Supply any required building system/maintenance reporting. • Develop and maintain manuals and procedural information for building systems; establish protocols and instructions for new facility management. • Monitor grounds, and ensure that exterior areas are well maintained, and safe. • Oversee security of Museum building and grounds. • Maintain, update, and develop security and safety protocols. Provide support to ensure adherence of safety and security policies and procedures; maintain emergency instructions and mapping information. • Coordinate safety and emergency preparedness trainings for staff and volunteers; schedule and conduct emergency training drills, etc. • Program and supervise key-card security system, maintain physical Museum key inventory. • Monitor and provide training for video surveillance system. • Ensure timely inspection for all security, fire/smoke detection systems and extinguishers. • Supervise security staff or contractors as required. • Ensure personnel coverage and training for opening and closing procedures; both for regular operating hours and after-hours, and weekend coverage. • Maintain emergency supplies and first aid kits. • Collaborate on the development of the annual departmental budget; manage expenses, and track invoices.
BA/Associate's degree plus 3 years relevant experience
