Our Mission

The J. Paul Getty Museum seeks to inspire curiosity about, and enjoyment and understanding of, the visual arts by collecting, conserving, exhibiting and interpreting works of art of outstanding quality and historical importance and is one of four programs of the J. Paul Getty Trust. The Museum operates two sites, the Getty Villa in Malibu, which exhibits its collection of Greek and Roman antiquities, and the Getty Center in Brentwood, which displays its collections of European art: Medieval and Renaissance illuminated manuscripts, paintings, sculpture, decorative arts, drawings to 1900, and photography to the present day (including non-European works). The Museum mounts approximately 25 temporary exhibitions a year across its two sites; maintains an annual permanent gallery improvement program and offers wide-ranging and ambitious programming for its visitors.

The Opportunity

The J. Paul Getty Museum seeks a qualified administrative coordinator to support the Museum’s Villa Scholar program located at the Getty Villa. Reporting to the Curator of Antiquities, the administrative coordinator will administer the Getty Scholars Program at the Villa, while providing support for the Villa Scholars in residence, all in close collaboration with the Getty Research Institute, Foundation, Office of Scholars, Interns, and Professionals (OSIP), and office of the Museum’s Associate Director for Collections. The successful candidate will have excellent communication skills and will be adept at customer service, highly organized, detail-oriented, a problem solver and team player, and adaptable, as well as able to work independently at times, in a very fast-paced work environment with multiple priorities.

Major Job Responsibilities
Coordinate the scholar application review process through the Fluxx portal; evaluate applicant eligibility, prepare documentation, assist with the formation of the Villa Scholars Selection Committee, and support committee members in collaboration with the Getty Research Institute and Foundation.
Contribute to the development of the annual scholar year theme, including research, production and dissemination of promotional materials, and updating the website.
Assist with appointments of short-term guest scholars to include office space and housing with Getty Research Institute.
Correspond with potential Villa Scholar applicants and be conversant with Scholars Program procedures and policies.
Draft written internal reports and memoranda, as well as offers to selected Villa Scholars and coordinate the timing of the appointments for successful applicants with the Museum Director, Senior Curator of Antiquities, Curator of Antiquities, and appropriate Getty Research Institute, Foundation, and Office of Scholars, Interns, and Professionals (OSIP) staff.
Organize remote and in-person Villa Scholar seminars and lectures.
Foster communication and collaboration across departments and programs Getty wide, primarily with the Scholars Program of the Getty Research Institute and the Foundation.
Coordinate with the Getty Research Institute and the Office of Scholars, Interns, and Professionals (OSIP) to process visas.
Coordinate with the Getty Research Institute on arrangements for travel and housing.
Qualifications
High school diploma/GED; Bachelor's degree
Minimum 4-6 years related experience
Knowledge, Skills and Abilities
Strong administrative, project coordination, communication (both written and verbal) and interpersonal skills
Demonstrated ability to exercise discretion in dealing with confidential information
Advanced research, writing, and editorial skills
Ability to manage multiple projects in a timely manner
Ability to build relationships, collaborate, and work on teams
Ability to set and meet deadlines for oneself
Strong computer skills and demonstrated experience with office software to include Outlook, Microsoft Office 365 (Excel, Word, PowerPoint, Zoom), Adobe Acrobat, Illustrator, Photoshop
Excellent organizational skills and attention to detail
