Our Mission
The J. Paul Getty Museum seeks to inspire curiosity about, and enjoyment and understanding of, the visual arts by collecting, conserving, exhibiting, and interpreting works of art of outstanding quality and historical importance and is one of four programs of the J. Paul Getty Trust. The Museum operates two sites, the Getty Villa in Malibu, which exhibits its collection of Greek and Roman antiquities, and the Getty Center in Brentwood, which displays its collections of European art: Medieval and Renaissance illuminated manuscripts, paintings, sculpture, decorative arts, drawings to 1900, and photography to the present day (including non-European works). The Museum mounts approximately 25 temporary exhibitions a year across its two sites; maintains an annual permanent gallery improvement program and offers wide-ranging and ambitious programming for its visitors.
The Opportunity
The J. Paul Getty Museum seeks an experienced professional for Associate Registrar in the Registrar’s department located at the Getty Villa. Reporting to the Villa Registrar, the experienced individual will be responsible for managing the budgeting, loan processing, recordkeeping, shipping and courier arrangements for assigned exhibitions as well as collection-related projects at the Museum. They will ensure that the highest standards in the safe, professional handling of works of art are followed. Maintains frequent contact with Museum curatorial, conservation, preparation, exhibition and administrative staff, Getty Risk Manager, representatives of other museums and institutions, brokers, dealers, lenders, hotels, and shipping and crating vendors. Assists with other exhibitions and special projects at the Getty Center as needed and available.
Major Job Responsibilities
- Responsible for planning of assigned projects. Attends planning meetings, review contracts and provides budget estimates for packing, shipping, escorting, and insurance.
- Coordinates loans to the collections for assigned projects. Reviews loan request letters, prepares loan agreements and coordinates with Director’s Office, Exhibitions and curatorial departments on sending them out. Prepares loan qualifying questionnaires on the Museum's facility and procedures for lenders. Reviews and negotiates lenders’ loan conditions. Develops and coordinates shipping schedule with lenders and shippers after discussing the installation and deinstallation schedules with curators, conservators and preparators.
- Makes shipping and courier arrangements for assigned projects. In consultation with Villa Registrar, researches and selects best mode and route of transport for each shipment, considering environmental conditions, handling, security and cost. Negotiates with agents, brokers, couriers, and carriers. Monitors packing and instructs outside packers, couriers and other vendors. Checks shipments in and out while also coordinating condition reporting, tracking objects in transit. Coordinates packing and shipping with Museum staff, Security, Logistics and outside contractors. Contributes to master shipping schedule ensuring transport information is properly recorded. Reviews shipping invoices and may act as courier.
- Coordinates the clearing of works of art through U. S. Customs ensuring correct tariff codes are used. Research import/export regulations to ensure shipments conform and advises customs broker of movement of objects, as well as monitoring broker and reviewing broker invoices.
- Processes purchase orders and invoices. Tracks shipment and courier costs and prepares quarterly estimated actual reports.
- Assists in maintaining the quality and accuracy of object documentation in the Collections Management System (TMS): enters and proofs records in loan, exhibition, shipping and insurance modules.
- Assists in determining insurance requirements for assigned special exhibitions and shipments. Reviews insurance certificates and condition reports to protect Museum's liability. Assists in the preparation of U.S. Indemnity applications and prepares and distributes indemnity and insurance certificates to lenders. Reviews monthly loan value report and quarterly transit report for accuracy.
- Drafts and revises procedures and instructions related to shipping and loans, designs forms, and recommends improvements to automated and manual recordkeeping systems. Maintains up-to-date exhibition procedures and forms on shared drive.
- Assists in supervising Assistant Registrar for the Villa and interns: Assists in training and assigning projects related to exhibitions, proofs reports and other work.
- Reviews and reports on art damage incidents, as required.
- Assumes duties of Registrar or of other registrars in their absence. Maintains a general knowledge of all other procedures utilized by the Registrar's Office and shares with other staff members as necessary.
- Undertakes special projects as directed by the Villa Registrar or Head of Registration.
- Authorized to issue receipts, releases, and gallery removal tags.
Qualifications
- Bachelor's degree in art history or related field
- 3-5 years of registration or publications experience or related experience in collections documentation, handling or movement or in the granting or obtaining of electronic rights
Knowledge, Skills and Abilities
- Prefer 3-5 years of museum registration experience or combination of experience in collections management, art handling and movement, and data processing
- Must have working knowledge of and familiarity with various means of local, national and international transport and how each affect works of art
- Experience with database systems, preferably The Museum System (TMS) and Windows-based software required
- Excellent communication and interpersonal skills
- Ability to be diplomatic when dealing with internal and external stakeholders; work effectively with a wide range of staff and outside professionals
- Proven experience dealing with confidential information; must exercise discretion in dealing with information about the collections
- Proven project management skills and ability to meet deadlines
- Competent editorial and proofing skills
