Job Description: 

Job Title: Development and Membership Coordinator  

Reports To: Director of Advancement 

 

Purpose:  

The Development and Membership Coordinator supports all fundraising and membership initiatives, providing key assistance with stewardship, gift processing, and database management. This role is essential in helping the Advancement team with administrative tasks, special appeals, donor events, and patron concierge services. The Coordinator also provides vital support for special events and manages year-round concierge services for Guardians and top donors. 

 

Key Responsibilities 

Development:  

  • Provide strong administrative support for the Development team through donor database management, including inputting contact reports and other pertinent information 
  • Process gifts according to SVMoA policy, standards and procedures, and create and send acknowledgement letters in a timely manner 
  • Identify, cultivate and solicit individual potential prospects and maintain relationships with portfolio of existing donors 
  • Support SVMoA’s annual/bi-annual campaigns and mailings  
  • When needed, provide support to the Executive Director and Director of Advancement for administration of Board meetings and events, such as creation of agendas, coordination and distribution of meeting materials, meeting minutes, venue reservations, Board orientation process and Board Portal maintenance 

 

Membership: 

  • Input all data and track contributions from members, donors, corporate sponsors, and foundations. Analyze membership data to identify trends, preferences, and areas for improvement.  
  • Manage monthly QC of constituent membership levels, both in Raiser’s Edge and Otix.  
  • Generate mailings such as membership renewal, annual fund appeals and general solicitations 
  • Generate thank-you mailings to members, donors, corporate sponsors and foundations 
  • Act as the concierge/liaison for Guardian members  
  • Propose and develop strategies to attract and retain members  
  • Partner with the Director of Advancement to implement retention strategies across all membership demographics  
  • Coordinate efforts with the Director of Advancement to plan and execute member-exclusive events, such as exhibition previews, curator-led tours, and networking opportunities.  

 

Special Events and Fundraising General: 

  • Generate donor and participant lists as needed 
  • Assist, as needed with on-site, pre- and post-event support for Wine Auction and other fundraising and cultivation events 
  • Support the correspondence, solicitation, and stewardship of Wine Auction participants  

 

Qualifications Required: 

  • Demonstrated proficiency with Microsoft Office applications, especially Excel, Word, PowerPoint, Outlook and Outlook calendar 
  • Proficiency in donor database software, Raiser Edge preferred 
  • Prior successful experience performing administrative, office and customer service functions 
  • Strong writing and organizational skills, and a record of success with complex and detail-oriented assignments 
  • Ability to learn new software and technology quickly 
  • Proven ability to manage multiple projects according to strict deadlines 
  • Team player with an even temperament 
  • High level of ethics and an ability to handle confidential donor database information  

 

Focus: 

Development: 70% |  Events: 30% 

 

Details: 

This is a full-time (40 hours/week), exempt position. This position is eligible for benefits. Work may require the flexibility to work evenings and/or weekends according to The Museum’s calendar of programs and events. Regular office hours for SVMoA’s Ketchum location are Monday-Friday, 9am-5pm. Must be able to work additional evening hours and weekends.
