Title: Registrar 

Summary: Reporting to the Chief Curator of the Art Collection within the Office of the CEO, the Registrar oversees the care, management, and documentation of over 4,000 objects in the AltaMed Art Collection. The Registrar encompasses a pivotal role in developing, implementing, and maintaining best practices for collections care including but not limited to the database, exhibitions, loans, packing and shipping, import/export documents, fine art insurance, and art storage. The successful candidate will be able to work effectively and timely on a wide variety of projects concurrently with the ability to adapt to changing priorities. Additionally, the Registrar must be able to establish and maintain effective internal working relationships cross-departmentally, and with external individuals and organizations. The Registrar will oversee some AltaMed Art Collection team members, interns, and external vendors, providing expertise on best practices in all collections care. The Registrar will contribute strategic thought-leadership for the department’s priorities in alignment with institutional mission, vision and values. Occasional work on evenings and weekends will be required for this position.

Essential Job Functions of Job Description

  • Maintain the collections management database in ArtLogic, adding information as it relates to object creation and maker, material technique, significance, provenance, exhibition history, location and all other information related to the object.
  • Oversee the digital asset management program and maintain records in Dropbox.
  • Manage and oversee the process for incoming acquisitions working with collectors and artists, external vendors and registrars, and AltaMed staff, including but not limited to agreements and documentation, transportation, photography, condition reporting and database accession.
  • Coordinate domestic and international incoming and outgoing loaned art from the Collection, working with external vendors and registrars, and AltaMed staff, including but not limited to site inspections, agreements and documentation, condition reporting, transportation and shipping, and photography.
  • Participate in domestic and international courier duties if deemed necessary.
  • Create, implement, and oversee a collections management plan.
  • Create, implement, and oversee preventative care and risk management programs for all AltaMed corporate and medical facilities, working with colleagues from the Collection, Facilities, Security, Legal, and medical facilities.
  • Correspond with the AltaMed Facilities department to ensure that correct temperature, humidity, cleanliness and building logistical care is implemented at all AltaMed sites. 
  • Conduct regularly scheduled walkthroughs and inspections of all AltaMed sites that include corporate offices, medical facilities, and the Montebello art space.
  • Identify objects for conservation, oversee contractual work with professional conservators, and update records.
  • Coordinate and manage the photography and photo editing and storage of all newly accessioned and existing objects in the Collection with external and internal photographers, and upload images to the database.
  • In consultation with the Legal department and other AltaMed staff, ensure appropriate and accurate permissions, credits, reproduction and any licensing of reproductions of art objects in the Collection.
  • Supervise and administer fine art insurance coverage for the Collection, incoming loans, and outgoing loans from the Collection.
  • Responsible for creating, maintaining, and reporting budgets for all assigned projects and duties.
  • Maintain good partnerships with external vendors related to this position, artists, and colleagues from other institutions.
  • Conduct occasional tours of the Collection to AltaMed visitors, staff and patients.
  • Assist with providing access to the Collection for research, auditing, educational, and fundraising purposes, working with AltaMed staff and outside organizations.
  • Pursue professional development opportunities to gain the skills, knowledge, and connections needed to enhance efficiency and excellence with this position.
  • Perform other administrative duties as requested by supervisor.

 

Education and Experience:

  • A minimum of a Master’s Degree from an accredited college or university with a major in Art History, Museum Studies, Art Administration or a closely related field.
  • Minimum of three to five years with registration and collections experience in an art museum or gallery setting.

Compensation

$57,241.60 - $71,510.40 annually
