Summary: In accordance with the Museum’s Mission Statement, policies and procedures, the Archives Assistant, Processing assists with the processing, maintenance and display of the Museum’s archival collections. Essential Duties and Responsibilities: The essential duties and responsibilities of the position are outlined below. Other duties may be assigned. • Intake and process new acquisitions following consultation with acquisition work group, including Curator and Collections Manager • Arrange, describe, preserve, catalog, digitize, and index archival collections with a focus on books, magazines, clippings, licensees, personal papers and business documents. • Provide reference services for staff, Creative Associates, patrons, and researchers. • Process archival collections and prepare finding aids using Encoded Archival Description (EAD) for online publication. • Work with archival collections in non-textual formats, such as photographs, audio recordings, and video recordings as needed • Copy edit official Museum publications, in-house and traveling exhibition text. • Assist with production of oral history interviews as needed • Assist with publishing projects and digital asset requests as needed • Carry out periodic inventory of collections • Rehouse collections objects for long-term storage • Monitor condition of collection and movement of collection within buildings. • Participate as a member of the exhibition development, design, and installation team. Advise on the inclusion of archival objects and appropriate exhibit mounts. Perform physical installation of archival objects as required. • Pull and provide objects for exhibitions • Lead Research Center tours, as required • Oversee janitorial upkeep of offsite collections storage facility as needed Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and Training: Any combination of coursework, training and work experience which would provide an opportunity to acquire the skills and abilities listed. Normally, academic course work in archival studies, art history, museum studies, or closely related courses would provide such an opportunity. A Master’s Degree in Library and Information Science (MLIS) with an emphasis in Archival Studies is highly desired. One or more years’ experience in archival work is also preferred. Skills and Abilities: • Broad knowledge of museum standards and practices. • Solid working knowledge of the principles of archival practices. • Knowledge of file and data management techniques used in museum registration and record keeping. • Knowledge of digitization standards and best practices. • Be a self-starter with flexibility and a willingness to get the job done. • Excellent written and oral communication skills. • Ability to read and interpret documents and reports. • Ability to write routine reports and correspondence. • Ability to speak effectively to diverse groups of people. • Ability to conduct oral history projects effectively. • Good working knowledge of Microsoft Office Suite programs. • Proficient in ArchivesSpace • Working knowledge of PastPerfect museum software. • Working knowledge of Adobe Creative Suite software. • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse environment • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve problems involving several variables. • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
