Job Summary:
The MA in Museum Studies program (MUSE) offers a 16-month curriculum that provides students with the comprehensive knowledge and hands-on experience to assume a variety of roles within cultural, artistic, and heritage organizations. The Program is situated in the Department of Art + Architecture, which also includes four undergraduate programs: Architecture and Community Design, Art History & Museum Studies, Design, and Fine Arts.

Under the general supervision of the Associate Dean for Graduate Programs and Strategic Initiatives, and in coordination with the Program's Academic Director, the Program Manager for the MA in Museum Studies is responsible for managing and supporting the efficient operation of the graduate program. In close coordination with the Program's Academic Director, the Program Manager is responsible for student recruitment and admissions, event planning and execution, academic and student support, and works to maintain, improve and create new graduate program initiatives and partnerships.

Recruitment and Admissions

 

 

  • Plan, manage and execute the student recruitment, admissions, and retention process, from prospect to matriculation to graduation, in collaboration with MUSE Academic Director and the Office of Graduate Admissions. This includes reading applications, leading the admissions committee process, communicating final decisions to applicants, managing scholarship fund decisions, cultivating relationships with admitted students, managing admissions deposit process, managing data and statistics around admissions, overseeing 1st year student registration, and initializing yield efforts.
  • Cultivate relationships with prospective students, and manage the admissions process from inquiry to registration, including answering program inquiries, promoting the program at conferences, leading informational meetings and other events, cultivation of prospect relationships, planning campus visits and managing new prospect data.
  • Manage development of marketing campaigns and materials, as well as communications media (including brochures, promotional videos, program overviews, student handbooks, program blog, newsletters, website content management, and social media).
  • Manage and develop the program's communications and publications. Respond to requests for information from prospective students, media, and potential donors. Oversee the program's contact management system.

 

Academic/Student Support

 

 

 

  • Organize, oversee logistics for, and attend MUSE events (in collaboration with Program Assistant), including: new student orientation events, student-faculty socials, symposia, workshops, guest lectures, final capstone presentations, graduation celebrations, and graduate-student association-sponsored events. In addition, the Manager will serve as liaison for collaborative events with Thacher Gallery and other student-centered events. Develop and maintain a MUSE and alumni publicity mailing list for event outreach. Serve as staff adviser for the Museum Studies Graduate Association.
  • Administer the capstone advising process with the program's Academic Director, scheduling advisors for each project, tracking progress towards final approval for degree, organizing the final poster session or other culminating events. Maintain the archive of physical and digital copies of capstones.
  • Coordinate the internship program: cultivate and manage relationships with internship hosts, develop and maintain the internship database, manage the internship placement process (for both graduate and undergraduate students in Art History & Museum Studies) and advise student applicants on internships and professional development.
  • Manage alumni tracking (employment information and data/statistics) and alumni services for the program, in collaboration with the Office of Alumni Relations. Conduct exit interviews with graduating students and prepare a report.
  • Collaborate with departments across campus (Student Enrollment Services, Student Employment, International Student & Scholar Services, Student Leadership & Engagement, and Counseling & Psychological Services) to ensure that resources are available and delivered appropriately to graduate students and faculty, including supporting international students with issues around visas, scholarships, internships and student employment.
  • Support development initiatives by drafting reports and stewardship materials.
  • Support the activities of the curriculum assessment committee by disseminating information to faculty and participating in data collection.
  • Support faculty (full-time and part-time) including onboarding and logistical needs.
  • Hire and manage student assistants in collaboration with the Program Assistant.
  • Support the Academic Director in planning and tracking the program budget.
  • Provide administrative support to faculty and the Dean's office for other College-related projects.

 

Other Responsibilities

 

 

 

  • Serve as a member of the University Graduate Admission Council and attend College of Arts and Sciences Graduate Program Directors meetings.
  • Manage program budgets, including assisting with scholarship allocations.
  • Collaborate with the Program Assistant.

 

Minimum Requirements

 

 

 

  • Bachelor's degree required in relevant areas (museum studies, arts administration, art history, fine art, anthropology, history or related field); Master's degree strongly preferred.
  • A minimum of three years of program administration work experience required. Educational program administration and higher education admissions experience strongly preferred.
  • Demonstrated cultural competency and experience working with students from a diverse array of backgrounds, including experience working with graduate students.
  • Demonstrated success in overseeing complex administrative systems and the ability to interact with a variety of different administrative departments.
  • Ability to juggle multiple projects and deadlines simultaneously.
  • Ability to understand and maintain budgets.
  • Excellent interpersonal and written communication skills, including through the use of social media.
  • Excellent computer skills (word processing, database systems, graphic design, and web maintenance skills).
  • Experience with strategic branding, national, and international marketing.
  • Ability and willingness to travel to recruitment fairs and partner industry organizations, and to participate in occasional events in the evenings and weekends to service graduate student events.
  • Strong equity lens, cultural humility, and proven ability to work well in a diverse context.

  • This is primarily an in-person position at USF's Hilltop campus in San Francisco, with the option to work 1-2 days remotely per week when scheduling permits.
